TERMS AND CONDITIONS

1. Reservations, Cancellations, and Group Bookings

Bookings

Reservations can be made online, through a third party, by phone, or in person. A valid credit card is required at the time of booking to secure your reservation.

The guest making the booking must be over 18 years of age and must present valid photo identification (Australian driver’s licence or passport) at check-in.

All bookings are inclusive of two guests. Additional guests must be declared and will incur a surcharge per person, per night.

Payment Policy

Payments will appear on your credit card statement as “Peak Accommodation Margaret River Pty Ltd.”

  • Full payment is required 7 days prior to check-in.
  • Accepted payment methods include Visa, MasterCard, debit cards, and EFT (for group or company bookings).
  • A 1.00% non-refundable surcharge applies to all card payments.

Peak Period Booking Policy

For stays during peak periods—including but not limited to school holidays, Easter, Christmas, and major local events—full payment is required 30 days prior to arrival, at which point the booking becomes non-refundable.

Group Bookings and Extended Stays

For bookings of five (5) or more rooms or stays of fourteen (14) or more nights:

  • A 10% non-refundable deposit is required within 7 days of booking.
  • Full payment is due 30 days prior to arrival.
  • If booking within 30 days, full payment is required at the time of booking.

Cancellations for group bookings:

  • If cancelled 30+ days before arrival: refundable, minus the 10% deposit.
  • If cancelled within 30 days of arrival: 100% of the booking amount is forfeited.

Pre-Authorisation

A pre-authorisation may be processed on your credit card at check-in to cover incidental charges or potential damages.

Cancellation and Date Changes

  • Cancellations or date changes made more than 7 days before check-in will incur no charge.
  • No date changes are permitted within 7 days of arrival.
  • Cancellations made within 7 days of check-in will result in forfeiture of the booking amount.

No-Shows

Failure to check in without prior notice will result in full charges for the reservation.

2. Check-in and Check-out

  • Check-in: From 2:00 PM to 5:00 PM
  • Check-out: By 11:00 AM

Guests must present a valid photo ID and the credit card used to make the booking.

Early check-in and late check-out may be arranged in advance and may attract an additional fee.

3. Rates and Payment

  • All rates are inclusive of GST.
  • Rates are subject to change depending on season, special events, or availability at the time of booking.

4. Guest Policy

Occupancy Limits

Each suite has a specified maximum occupancy. Exceeding this without prior arrangement may result in additional charges or immediate termination of the stay.

Children and Extra Beds

Children are welcome. Extra beds or cots must be pre-arranged and may attract additional charges.

Non-Smoking

All rooms are strictly non-smoking. A $350 cleaning fee will apply if smoking occurs inside a room.

Pets

Pets are not permitted. A $350 cleaning fee will apply if this policy is breached.

5. Damage and Liability

Guest Liability

Guests are responsible for any damage or loss caused during their stay. Associated costs will be charged to the credit card on file.

Personal Property

Peak Accommodation Margaret River Pty Ltd is not liable for the loss, theft, or damage of guest property. Guests are advised to secure their belongings at all times.
Items left behind may be returned by post upon request, with postage and handling fees charged.

Public Liability

We are not liable for injury, loss, or damage incurred on the property unless caused by our proven negligence, in accordance with the Australian Consumer Law.

6. House Rules

  • Quiet hours: 10:00 PM to 7:00 AM
  • Visitors: Permitted between 9:00 AM and 9:00 PM. Registered guests are responsible for their visitors’ behaviour.

Prohibited conduct: Excessive noise, illegal activity, or disturbances will result in immediate eviction without refund.

7. Security & Privacy

Security

For safety, CCTV operates in public/common areas. No surveillance occurs in private suites.

Privacy

Personal information is collected solely for managing bookings and communication, in line with the Australian Privacy Principles (APPs). Information will not be shared without consent unless required by law.

8. Internet & Parking

Wi-Fi: Complimentary for all guests. While we strive to provide reliable service, we are not liable for connectivity issues.

Parking: Free onsite parking is available. Guests use the parking facilities at their own risk.

9. Housekeeping and Room Services

Daily service is provided unless otherwise requested.

For extended stays, bed linen is changed weekly or sooner upon request.

A full clean is provided every 7 days for stays exceeding one week.

10. Force Majeure

We are not responsible for delays or disruptions caused by circumstances beyond our control, including but not limited to natural disasters, government regulations, or pandemics.

11. Governing Law

These terms and conditions are governed by the laws of Western Australia and the Australian Consumer Law. Any disputes will be subject to the jurisdiction of WA courts.

By making a reservation and staying at Heritage Trail Lodge, you acknowledge and agree to these terms and conditions.
